Web automation has a profound impact. Our users automate service unsubscriptions to save people money, and they collect billions of rows of data from all over the world for AI training, protection of consumers, or finding lost children. We give AI chatbots the context to interact intelligently, and we're developing novel ways to work with generative AI like ChatGPT.
What you'll be doing:
We're looking for a PeopleOps Administrator who keeps things running smoothly behind the scenes. You'll maintain accurate employee records across our HR systems (BambooHR, Payminator, BOZP, Scaut), handle the documentation side of onboarding and offboarding, and make sure we're treating all HR data with proper care and confidentiality. You'll be working directly with Laura, our PeopleOps Generalist, making sure nothing falls through the cracks.
With whom you'll be working:
You'll partner closely with Laura and report directly to her. Together, you'll support the entire employee lifecycle and manage the administrative work that keeps the People team functioning. You're also joining the wider People team under our VP of People, Simona, alongside our People Partners Lucka and Simi.
What you'll work on:
Keep employee records accurate and current across BambooHR, Payminator, Vanta, and other systems. When someone's info changes or a new person starts, you're making sure every system reflects reality - no duplicates, no outdated data.
Organize physical and digital HR files so anyone on the team can find what they need in seconds. Think logical folder structures, consistent naming, and documentation that doesn't require a treasure map.
Create and format standard HR documents like contracts, amendments, and policy docs. You'll become fluent in our templates and know exactly what needs to go where.
Handle the administrative side of onboarding and offboarding. New hire starting Monday? You've prepped their documents, scheduled their meetings, and coordinated with IT and Finance. Someone leaving? You're making sure nothing gets missed.
Support Laura with the daily work that keeps the People Team running. There's always something - a form that needs updating, a process that could be better, a system acting weird. You'll help tackle it.
Ensure all HR data handling complies with GDPR and our internal policies. Employee information is sensitive, and you'll treat it that way.
Contribute to People Team projects when an extra pair of hands would help, whether it's a new initiative or just a busy week.
They say there are no perfect candidates, but you might be the one if you have:
Must-haves:
1-2 years of administrative experience (HR experience is a bonus, but we're open to strong admins who want to learn)
Native-level Czech and advanced English. You'll be using both daily
You're naturally detail-oriented and organized
You take confidentiality seriously and handle sensitive information with care
You're available 15-20 hours per week
Nice-to-haves:
Familiarity with Czech labor legislation
Experience with BambooHR, Payminator, or similar HR systems
Genuine interest in building a career in PeopleOps
Tech stack:

By the end of the first 3 months, we expect you to:
Understand how Apify is organized and how our key processes work
Navigate BambooHR, Payminator, BOZP and Scaut independently
Handle onboarding and offboarding administrative tasks without guidance
Build solid working relationships with Laura and the People Team (plus Finance, Legal and Office team)
Identify 2-3 ways we could improve our current admin processes
By the end of the first 6 months, we expect you to:
Fully own the administrative side of the PeopleOps agenda
Be the go-to person for HRIS questions and data accuracy
Cooperate effectively with Finance, Legal, and the Office team
Implement at least 1 concrete improvement to our HR admin processes
Maintain accurate employee records across all systems
Proactively catch and resolve data issues
