Henceforth. is a leading creative strategy consultancy based in Prague, creating unique strategies, high-end brand designs, and concepts for some of the most esteemed clientele. We currently seek an experienced Executive Assistant / Office Manager who will be an excellent teammate for the company and its leadership. Are you tech-savvy, diligent, and a go-getter? 

The ideal candidate will provide top-level assistance for high-level executives. Should be well organized, detail-oriented, and able to respond flexibly to different types of assignments. Lastly, this individual should be able to draft documents and help the executive with any necessary preparations. The person should be detail-oriented, have critical thinking abilities, and love administration. Communication skills are essential since you will be working with the team.

Responsibilities

  • Acting as a point of contact among executives, employees, clients, and other external partners
  • Managing information flow in a timely and accurate manner
  • Facing new challenges in different areas
  • Solving basic technology/IT problems, managing the Google admin system, domain system, etc.
  • Processing and formatting documents in Office/Word and Office/Excel
  • Management of all internal systems
  • Organizing meetings, including scheduling and sending reminders
  • Executive support in preparing for meetings
  • Calendar management for executives
  • Onboarding / Offboarding and basic HR agenda
  • Training new employees on internal policy & collaboration tool
  • Act as an office manager by keeping up with the office supply inventory
  • Performing minor accounting tasks, including office expenses, and managing accounting spreadsheets
  • Maintaining comprehensive and accurate reports
  • Maintaining company contracts
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system

Qualifications

  • Bachelor's degree in business administration, communication, or  equivalent experience
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, able to multitask with great follow-up skills
  • Strong written and verbal communication skills

Candidate's Skills

  • Experience in an administrative/executive assistant role
  • Must have exceptional attention to detail
  • The ability to respond flexibly and quickly to new challenges, and to be able to track down or find out what is needed and then apply it in practice
  • Be technologically and IT savvy (be able to use tutorials and information found to solve basic technology/IT problems, manage the Google admin system, domain system, etc.)
  • Go-getter attitude
  • Orientation and work with numbers/finance
  • Diligence
  • Strong problem-solving skills and analytical abilities
  • Highly motivated and independent
  • Must be very proficient with Microsoft Office (Especially Word and Excel)
  • Excellent communication and interpersonal skills
  • Must be advanced in the Czech and English languages
