We are seeking a highly organized and proactive Executive Assistant to support our CEO from Prague. As the primary liaison between the Prague team and our U.S. based CEO, you will play a critical role in ensuring smooth communication, managing scheduling logistics, and helping to foster a vibrant office culture in Prague. This is a contractor position with flexibility in working hours, with an emphasis on alignment with European time zones.
The Executive Assistant is responsible for driving the execution of strategic priorities as defined by the CEO. Additionally, they work on diverse projects based on the company’s priorities and manage a wide variety of initiatives for senior leadership. They work on short-term, ad-hoc, as well as longer-term analyses and projects, map out processes and develop efficiencies and improvements, research and develop content for internal and external use, and work closely with all departments as needed to execute initiatives. From day one, the EA will have an immediate impact on our productivity, streamlining strategic initiatives, overseeing program management, and communicating objectives between departments. In general, they provide a buffer between a chief executive and their direct-reporting team by working behind the scenes to solve problems, mediate disputes, and deal with issues before they are brought to the chief executive.
Key responsibilities
- Coordinate the logistics of the Office of the CEO including but not limited to calendar
management, travel arrangements, hosting onsite visitors, and inbox management - Assist in the coordination of quarterly and ad hoc board meetings
- Receive delegated project management work based on business need, and deploy to various departments to execute on behalf of the Office of the CEO
- Lead the deployment of company-wide communications from the CEO
- Become familiar with the Filevine Legal OS and use the platform to manage your daily workflows and communications
- Support the ongoing analysis of key business metrics
- Interface with customers and prospects
- Act as a thought partner to the CEO including sharing key observations and providing feedback
- Prioritize employee well-being and lead recognition efforts
Skills and Qualifications
- 3+ years in a business or executive management role
Excellent communication skills in English – both written and verbal.
Proven experience organizing and coordinating projects and communication across multiple teams and departments
- Extremely versatile, dedicated to efficient productivity
- Ability to work from our Prague office
- Flexibility to assume an on-call posture during evenings, weekends, and holidays
- Ability to travel as business needs dictate
- Mature ability to proactively anticipate business needs
- Experience with data analysis
- Experience with budget management
- Proven success in a project coordination role
- Nimble business mind with a focus on developing creative solutions
- Strong project reporting skills, with a focus on interdepartmental communication
