Private Personal Assistant to Founder
Your (possibly future) boss is part geek, part visionary. Your (possibly future) boss is the founder of a successful cybersecurity startup (www.safetica.com), currently manages a closed investment vehicle and an angel portfolio with investments across America, Europe, and MENA.
Your main task will be to save his time. You'll be his personal assistant who will completely relieve him of all personal agenda in coordination with his executive assistant/operations manager.
What Will You Actually Do?
Calendar and Time Management:
- Full responsibility for personal calendar and meeting coordination
- Ensuring smooth execution of all planned activities without delays or complications
- Time management and ensuring efficient work-life balance
- Email communication management as needed
Fleet Management:
- Complete vehicle care – fueling, washing, inspections, tire changes, insurance management, handling fines, technical inspections, service coordination
Apartment and Household Management:
- Complete apartment management – coordinating cleaning, maintenance, repairs
- Liaising with service providers, property managers
- Ensuring seamless household operations
Personal Matters:
- Shopping for goods as assigned, including returns
- Dry cleaning, barber, restaurants
- Outfit and styling preparation
- Suggesting places to visit, interesting experiences including their complete booking
- Arranging gifts
Health and Wellness:
- Responsibility for longevity protocol – supplement management, coordination with doctors and health specialists, tracking and ordering all necessary preparations
Travel Management:
- Precise high-level travel management – complete itineraries from A to Z
- Arranging flights, accommodation, transfers, restaurants, all details
- Hotel reservations and coordination of all aspects of stays
- Coordination of business and private trips with international partners and suppliers
Communication and Coordination:
- Communication with external entities – service providers, specialists, authorities, and other entities in personal sphere
- Coordination of personal projects from start to finish
Additional Tasks:
- Research and information gathering as assigned by operations manager
- Handling routine and unexpected situations requiring flexibility
What Can You Expect?
- Demanding work requiring great flexibility – The Founder has high standards for quality and speed of task completion. He expects proactivity and ability to anticipate his needs.
- Need to adapt to his pace and work style – Every day can be different; you must be ready for plan changes and unexpected situations.
- Close collaboration with operations manager – She will assign tasks, coordinate work, and provide guidance.
- Variety of tasks – No two days will be the same; you'll often handle things requiring creative approaches.
- Work requiring high level of responsibility – You'll manage important aspects of the founder's life.
- Project approach to tasks – Your tasks often won't consist of just handling one thing; they'll often contain follow-up steps, so it'll be up to you how you schedule them to solve the entire project on time and correctly.
What You Won't Do:
- Rigid work in an open office
- Routine office tasks with clear procedures
- Business management (that's handled by the operations manager)
What We'd Like From You:
- High intelligence and ability to learn quickly – We expect a smart person who can think efficiently and solve problems.
- Efficient use of AI tools – You must be able to use AI (ChatGPT, Claude, other tools) to make your work more efficient, automate tasks, and improve outputs where appropriate.
- Experience – Previous experience as a personal assistant is required.
- Willingness to work and mental resilience – The workload will be demanding, so we're looking for a resilient personality, someone who doesn't give up when they see a challenge and accepts honest and fair feedback.
- Eye for detail and ability to follow through.
- Adaptability – Things change every day. You must be able to quickly adapt to new situations and independently find solutions.
- Loyalty – Focus on long-term goals. If you click, you can grow professionally by his side for many years.
- Independence – We're looking for someone who will take over the complete agenda and arrange everything necessary without needing detailed instructions.
- C2 level Czech, English at least C1 level – For coordination with international suppliers, specialists, and partners (spoken and written).
- Active driver (Category B license) – Tasks often require travel within Prague and beyond.
- Tech-savvy – You can efficiently use modern tools and applications for work organization.

Location / Format:
- Prague, full-time, partially remote
- Contractor basis, employment contract possible after onboarding, 3 to 6 months after starting.
