Back-Office & Compliance Admin
We are a small, fully remote agency that builds go-to-market campaigns for B2B technology companies across Europe. We are launching a major campaign and need someone to handle the administrative backbone of the entire operation — contractor onboarding, invoicing, compliance documentation, and general operational support.
What you will do
1. Contractor onboarding and compliance administration
You manage the document signing flow for all new contractors — NDAs, service agreements, GDPR addenda, anti-bribery policy acknowledgments. You send documents, track completion, chase missing signatures, and maintain a compliance file that is audit-ready at all times. The campaign is funded through a program with external compliance requirements — this is not a formality.
During the first 3-4 weeks, you will process onboarding for 8-10 contractors. After that, volume drops to occasional new engagements.
2. Invoicing and payments
8-10 contractors billing at different cadences: monthly retainers, per-project fees, variable meeting-based compensation, event payments. You receive invoices, verify them against agreed terms, prepare payment batches for CEO approval, and track payment status. All in EUR across multiple EU jurisdictions.
3. General administration and CEO support
Organizing proof-of-execution documentation for compliance. Calendar management, travel coordination (Prague, Stockholm), email triage, maintaining shared document repositories.
What this is NOT
- Bookkeeping — tax filings and statutory accounting are handled separately
- HR strategy — you execute onboarding using established templates, not design HR policy
- Project management — campaign coordination flows through other roles
- A general-purpose VA role — the core is structured document management and financial administration
What we need
- Experience managing contractor/freelancer administration across multiple concurrent engagements (not just corporate EA work)
- EU cross-border invoicing and multi-currency payment processing familiarity
- Document management discipline — you can maintain a compliance file that would survive an audit
- Discretion — you see all compensation data, financial terms, and client identity
- Self-direction — async remote work, structured tasks, no daily supervision
